Presenting "Live:" My Organization

Purpose:

  • To teach communication skills to board members as they speak for the organization and the board in the community.
  • To recognize another role board members play as a public relations or marketing spokesperson for the organization.

Introduction:

Explain that another very important role board members play is “Ambassador” for the organization in the community. While staff members make some presentations, board members should assist.

 

Activity:

  1. Explain that today a television station is coming to film segments on the organization for a series on “Community Trusteeship.” The board is going to be divided into three small groups to plan for these five-minute segments.

  2. Give each group a question to answer for the TV viewing audience. They are to work together to develop a presentation.

    GROUP A: You have been invited to ask the TV viewing audience for funds to continue the work of your organization. Why would someone want to give money to your organization?

    GROUP B: You have been invited to explain to the TV viewing audience the work your organization does for the community. What will you say?

    GROUP C: You have been invited to comment on what it means to serve on a board of trustees. How will you explain your role as board member?

  3. Give the groups 30 minutes to plan their five-minute presentations. Make paper and markers available.

  4. While groups are working, set the room up as a TV studio. Sit behind a table and ask guests to sit on the side.

  5. Ask each group to make a five-minute presentation.

 

Processing Questions:

If you were in the TV viewing audience, what would be your reaction to the presentations?


  1. Would you give money?
  2. Do you clearly understand the purpose or mission of the organization?
  3. Would you want to serve on a board of trustees?

Ambassadors to other countries are chosen for their language skills, ability to connect with people, tact, knowledge of what to do, and knowledge of the area in which they will live. How do these same qualities apply to you as an organizational ambassador?

Do you feel comfortable in your role? What else might be needed for you to feel that you could serve effectively?


Variations/Options:

If the training site has available equipment, consider videotaping the segments. This gives participants an excellent idea about how they looked and sounded. Discussion might focus on the presentation and how to improve it.
